Document Templates

  • Orthodontic and Non Orthodontic Contracts can now be configured from Document Templates using a question type "Payment Plan Schedule" that will populate and display a predefined grid.
    • This grid will display Date and Payment Amount (Patient Amount, Insurance Estimated Amount), and optionally the Type (Downpayment, charge, adjustment), if "Showing Type" is set to Yes.
    • For Orthodontic plans, patient, primary insurance, secondary insurance, and/or tertiary insurance schedules are available to be included.
    • For Non Orthodontic plans, only the patient schedule will be available.
  • Individual data hooks related to Non Orthodontic Plan Summary and Schedule are now available. Under the heading "Non Ortho Payment Plan", the following data hooks are available:
    • End Date
    • Start Date
    • Total
    • Number of treatments/charges
  • Individual data hooks related to Payment Plan Schedules are now available. The most current schedule is used and all active payment plans would be shown in the contract. Under the heading "Payment Plan Schedule", the following data hooks are available for either patient, primary insurance, secondary insurance or tertiary insurance:
    • Schedule End Date
    • Schedule Start Date
    • Scheduled Charges
    • Amount (Patient or Estimated for Insurance)
    • Patient or Payer
  • Individual data hooks related to Orthodontic Treatment Plans are now available. Under the heading "Ortho Treatment Plan", the following data hooks are available:
    • Code
    • Code Description
    • Date Appliance Placed
    • Estimated Completion Date
    • Phase
    • Provider
    • Start Date
    • Summary Total

Financials

  • Ability to clear the adjustment code field while creating an Orthodontic payment plan.
  • A column for 'ICD 10 Code' was added on the Create Predetermination grid so that linked diagnostic codes to planned/proposed treatments are visible when creating a predetermination.
  • Contracts (Non Orthodontic or Orthodontic) for Patient Payment Plans
    • The icons to create a contract or view existing contracts have been moved to the Patient Schedule lines, rather than being in the top right corner of the Payment Plan.

Insurance

  • The system now checks patient demographic requirements when you start to add an insurance policy to a patient, instead of when you attempt to save the association.

Authentication

  • Fixed issue where "authenticate through Google" users were not being redirected to Google's app approval page.

Financials

  • Fixed an issue related to claims submitted to the queue from a Patient's Financial Dashboard.
  • Fixed issue where approved amount was missing for step set procedures in a PD/PA Claim.
  • Fixed the issue of being unable to zero out a charge on a non-billed payment plan schedule.
  • Fixed the issue where an admin charge amount could not be changed on a Non Orthodontic Payment Plan.

Insurance

  • Fixed an issue where the Primary/Secondary insurance labels are incorrect with an inactive policy.
  • Fixed issue of being unable to add a Custom Billing Dentist.
  • Fixed issues related to Claim reason codes totals showing on batch allocations.
  • Fixed issue where Insurance Policies were not saving when the date format was MM/DD/YYYY.
  • Fixed the error message information when saving an Insurance Policy.

Orthodontic Charting

  • Fixed issues related to manually completing the Orthodontic Treatment Plan before the scheduled plan.
  • Fixed the issue of an Orthodontic payment plan adjustment positive amount warning persisting when amount error is resolved.
  • Fixed the issue of being unable to modify the start date of an Orthodontic Payment Plan.

Reporting

  • Fixed the issue where the Appointment List report was not sorting by appointment date and time.

User Experience

  • Various issues have been addressed throughout the system.

Validation

  • Fixed an issue of validation entries not loading properly.

New

Odontogram & Findings Dentition

  • The Odontogram and Findings Input are now using the same base dentition component, which allows for consistency and flexibility.
  • Under the Charting Provider Settings, there is an option to display the Odontogram and Findings Input in Sextants or Quadrants.
  • For the Findings Input, the ability to display existing findings and procedures is available from Charting Provider Settings.
  • Filter options are now available for the Findings Input dentition, similar to how the Odontogram can be filtered.
  • A tooth will now be greyed out when disabled, meaning that it cannot be interacted with.
  • The "Show Tooth Label" in Charting Provider Settings is now functional and applicable to the Odontogram, Findings Input and Procedure Input. When the tooth labels are unable to render properly (e.g. when "Microsurfaces" is turned on) then the labels are automatically hidden.

Financials

  • Help text has been added to clarify the orthodontic payment adjustment code requirements.
  • If there is only one active payment location defined in Practice Settings, then payment screens will automatically default to the location.

Panel Views

  • The ICE Default Panel Views for all dashboards have been updated to more simple, user-friendly default arrangements.

Practice Branding

  • Help text has been added to Practice Settings > Practice Information > Practice Branding > Theming, for the Menu Colors.
  • The Application Banner text and colour configuration is now available in Practice Settings > Practice Information > Practice Branding.

Reporting

  • Report types that have only one report are no longer hidden under the expanding plus icon. The main list uses the names of the reports themselves (e.g. Appointment List rather than this being hidden under Scheduling). Currently only the report type Financials has multiple reports (e.g. Adjustment, Income, etc).
  • Under Your Templates there is a new button labelled "Run" beside each template. This allows you to run with a single click rather than having to select "Use" and then the "Run or Export" button.

  • Updates to CDT Code descriptions.

Imaging

  • Fixed issue where imaging template drop-down name was not updating when changed.

Practice Settings

  • The Practice Settings menu on the left no longer includes redundant child pages.

Reporting

  • Fixed issue where "Provider SIN" field is duplicated in Audit Log and Validation report options.

Telehealth

  • Fixed the issue where audio would stop working when the video was turned off.

Financials

  • Contracts (Non-Orthodontic or Orthodontic) from Patient Payment Plans
    • Ability to define document templates with system types of Ortho Consent or Non Ortho Consent.
    • Ability to create Orthodontic and Non-Orthodontic Contracts from the Patient Payment Plan tab.
    • To create a contract, there will be a red plus icon in the top right corner.
    • A green plus icon indicates that a contract has already been submitted.
    • The contracts are tracked from the Patient Payment Plan schedule. Note that multiple contracts can be signed per payment plan schedule.
    • Once a contract has been created, a PDF icon will appear beside the green plus icon in the top right corner. By hovering on the icon, the contract will display as a link. Selecting the link will open the document. Note only the most recent contract will be displayed.
    • Once created, the document is also available from the Patient Documents panel.
  • Crosswalk Codes
    • Ability to manage the cross walking of dental procedures to medical procedures and medical procedures to dental procedures in Practice Settings.
    • Ability to apply a Crosswalk Charge from CDT - CPT or CPT to CDT via the patient charge transfer screen.
    • Display of applied Crosswalk Codes on Patient Financial screens.
    • Warning provided when a crosswalk transfer from one payer to another is initiated.

Reporting

  • Mail Merge EDI Statements can now be used for the Patient Outstanding Report.

  • Addressed various issues throughout Financials system.
  • Fixed an issue when trying to change coverage between Patient and Secondary Insurance accounts for Orthodontic treatment.
  • Fixed an issue related to removing then adding adjustments.
  • Fixed an issue where the Patient balance didn't increase when an active payment plan schedule & summary with an outstanding balance was cancelled.
  • Fixed the issue of deferred revenue schedule being blank if the estimated treatment length is provided after saving the plan.

  • Ability to now save an Orthodontic Treatment Plan if the orthodontic procedure code has no fee or zero fee.

Orthodontic Charting

  • Required fields when creating or editing an Orthodontic Treatment Plan are now identified.
  • The history table for Orthodontic Treatment Plans has been expanded to include more details about what changed.
  • The planned procedures link in Orthodontic Charting no longer includes planned procedures that were created from an Orthodontic treatment plan.

Patient/Provider Management

  • The list of states for the country of Columbia are now available and required when saving an address.

Practice Settings

  • From the Orthodontic Procedure List in Practice Settings, the name of a procedure list column value can now be edited before saving.

Reporting

  • In the Audit Report, "Event Time" has been renamed to "Event Date/Time".

Treatment Planning

  • Unscheduled appointments that are linked to a treatment are also listed as a link from the consolidated pop-up.
  • When adding 'Additional Providers' in Procedure Input panel, the provider roles (as defined for Charting) will now filter to only those provider groups linked to those roles. This is the same functionality available when adding additional providers to Appointments for those provider roles defined for Scheduling.
  • When using the "Save and Add New" button, it now uses the auto-filled tooth/surface from the initial treatment that was added to a finding.

User Experience

  • A provider's Localization Language setting (introduced in 59.0) determines if the ICE Help loads in English or Spanish.
  • Small improvements have been implemented throughout the system.

  • Consent tables will now appear in document PDFs when generated from a Document Summary.

Notifications

  • Fixed issues related to Notifications for Mail Merge processes.
  • Report template share notifications now indicate the report type.

Practice Branding

  • If the login page background color is set to black, then you can now see what is being typed in for username & password.

Practice Settings

  • Fixed an issue when editing a Time Slot from an Appointment Type where the minute dropdown options appeared in the top left corner.
  • Fixed issue of being unable to change the Primary phone number type for Clinics and Clinic Groups.
  • When saving a clinic without a phone number, there is now only one error notification.

Reporting

  • Address type of "Inactive" should now show properly in the report options.
  • Fixed an issue when creating a Report Template on search fields.
  • Fixed the issues with incorrect Appointment date/times in the Scheduling reports as per practice time zones.

Scheduling

  • An error is provided only if an appointment is being created on a date in the past. If an appointment is being created for earlier in the day, then this is simply highlighted to the user but is allowed.
  • 'Create Appointment' functionality is no longer available from the Treatment Planning Panel when Scheduling Permissions are off.
  • The number of appointments showing on the Clipboard has been increased and scrolling enabled.

Telehealth

  • Floating video panel is now able to be dragged out of the Chrome window (e.g. to an external monitor).

Treatment Planning

  • Fixed an issue with Prosthodontic procedures not being able to move to "Completed" status.
  • Fixed issue of material findings appearing on the Treatment Plan (only should appear in the General Procedure List).
  • There is now only one user selected checkbox for consent of a Step Set.

User Experience

  • Various issues have been addressed throughout the system.

Validation

  • Fixed issue where changes to surfaces on treatments or diagnostic findings were not creating validation history items.
  • When a finding is charted with no area, the validation entry no longer says 'null'.

New

Document Templates

  • Clinic phone number and Clinic Group phone number are now available as Data Hooks under Clinic.
  • Date of Birth is now available as a Data Hook under Demographics.
  • Gender and Insurance Gender are now available as Data Hooks under Demographics.

Provider Management

  • Ability to specify a language under Provider Profile - Account - Localization. Currently English and Spanish are available and the setting affects the Menu headings.

Reporting

  • Ability to report on addresses, for each of Primary Address and Practice Address Type. The columns available to select on the report include:
    • Address
    • City
    • State
    • Zip Code
    • Country
  • "Does Not Contain" has been added as a Search Comparison Type. For any of the Search Fields that included "Contains", there is now a "Does Not Contain" type.

Validations

  • Ability to validate vital signs (Blood Pressure, Heart Rate, Respiration, Temperature, Height, Weight, Pain). Each vital is considered a separate validation item. The Vitals Panel shows an 'unvalidated' data point as red and the hover box indicates "Validation Required".

Notifications

  • When a referral is in Draft, no notifications are sent.
  • When referrals are updated (exception is when they are in Draft), there is now a notification called "Referral Updated".

Treatment Planning

  • Sealant treatments charted will now display in the red asterisk pop-over visual on the selected tooth.

  • Small improvements have been implemented throughout the system.

Fixed

Orthodontic Charting

  • When adding a Progress Note from the Orthodontic Charting area, the note is immediately displayed.

Panels

  • When adding a new panel you are able to type in a new name in the Manage Panels window, and this change is now saving once the panel is added.

Patient Card

  • Fixed the issue where a Patient Image moved lower with long Insurance Payer names.

Practice Settings

  • When editing the CDT Code Set, it now sorts by CDT code ascending by default.

Reporting

  • Fixed issues related to reporting on unscheduled appointments and duration of appointments.
  • Fixed issues where the Procedure List Report and Reason for Treatment Report were being generating for the next day when the "equal to" search option was selected.
  • Fixed an issue where not all the records were displayed in Detailed Results when a large number of Data Sets were used.
  • Fixed the issue where Duplicating a Data Set was not loading properly.
  • For the Individual Search Fields, "Preferred Language" is now available in the "Not In List" option.

Telehealth

  • There is now an option to remove participants from Telehealth sessions.

Treatment Planning

  • Fixed an issue where the materials selected for a material finding were not being displayed in the General Procedure List.
  • If a treatment has changed after consent obtained, there will now be two separate lines for "New Consent Required" and "Previous Consent Obtained on…" in the consolidated pop-over.

Validation

  • Addressed some user experience issues in mobile validation.
