Updating a referral status

The referral status helps you identify the current progress for a patient's referral.

For example, when a referral is sent to a receiving provider they can either accept or decline a referral after reviewing its details.

There are several referral statuses available:

Referral StatusDescription
Draft

Referral is being setup with information before it is sent.

  • Required to save a draft: Referral type, referring provider, referring clinic
Sent

Referral is sent in the system and awaits the receiving provider or clinic to review it. The system sends a notification to included providers when a referral's status changes to Sent.

  • Required to send: Referring provider and referring clinic.
  • Not required: Receiving provider and receiving clinic.
  • After the referral is sent, the referral type, description, referring provider, and referring clinic cannot be edited.
Accepted

The receiving provider or clinic accepts the referral after determining they can complete it.

  • Required to accept: Receiving clinic
  • After accepting a referral, the receiving clinic cannot be edited.

Declined

The receiving provider or clinic declines the referral after determining they cannot complete it.

If the referral is declined, a reason must be entered inside the Reason for Declining Referral window. The decline reason and name of who declined the referral will be displayed in the summary afterwards.

  • After declining a referral, the receiving clinic cannot be edited.
In-ProgressReferral is currently in-progress as evaluation and/or treatment is provided to the patient by the receiving provider or clinic.
CompletedThe evaluation and/or treatment is completed for the patient by the receiving provider or clinic.
Closed

The results of the referral have been reviewed and the referral is now closed.

Archived

Archiving lets you hide referrals from the Referrals panel. This can be helpful on the Practice Dashboard where you may not want to see historical referrals every day.

Archived referrals can be displayed when you select  from any Referrals panel and choose Show Archived. This can be helpful on the Patient Dashboard where you may want to see all active and historical referrals involving the patient.

The referral status is always updated in all Referral panels. If a referral is sent to the receiving provider and they accept it, for example, the referral status displays Accepted in the Practice, Provider, and Patient Referrals panels.

Updating a Referral Status

After a referral is sent, its status can be updated as it progresses through the process.

When the selected referral status is saved, the Referrals panels update with the selected status.

  1. Select the referral from the list
  2. Choose a new status



    • If the referral is a draft, select Send Referral in the bottom left corner, to update the referral to Sent.
       
  3. Select Save
  4. The referral status is now changed in the Referrals panel

     

Archiving a Referral

Archiving lets you hide referrals from the Referrals panel and helps when you only want to view referrals that are currently open.

Only referrals with a Declined or Closed status can be archived. They can still be viewed or unarchived at any time.

  1. Select the referral from the list 
  2. Select Archive Referral


     
  3. The referral is now archived
    • Select  from any Referrals panel and choose Show Archived to display any archived referrals.
    • Showing archived referrals can be helpful on the Patient Dashboard when you're reviewing a patient's history and want to see every referral involving the patient.
