Configuring scheduling practice settings

Details about the remaining configuration options for scheduling are included below.

Appointment Statuses

Appointment statuses are separated into Before Check In and After Check In. System default statuses can be renamed and recoloured.

  1. Go to Practice Settings > Scheduling > Appointment Statuses
  2. Select the relevant Create New Status button

  3. A new line will appear at the end of the list of existing statuses for that section

  4. Specify: 
    • Appointment status name
    • Status
    • Color
  5. Select Save in the bottom left corner 
  6. To change the order of the statuses, Select  and drag the appointment status to its new location

Calendar Colors

The mini-calendar in the Schedule can be color-coded for special days, such as holidays or other office closures

  1. Go to Practice Settings > Scheduling > Calendar Colors
  2. Select Create New Calendar Color

  3. Specify: 
    • Title 
    • Description 
    • Status
    • Color



  4. Select OK to save the new calendar color
  5. Repeat as necessary 
  6. Select Save in the bottom left corner
  7. Select  to edit any existing calendar colors
  8. To assign colors to days on the calendar, select Assign Calendar Colors

  9. This will open a new window with the current month and upcoming 11 months



  10. In the upper right corner, there will be a list of your available Calendar Colors. The one highlighted in blue will be the one that you are adding if you select any of the days in the calendar displayed  
  11. You can use the Date Jump buttons at the bottom to see previous or future months
  12. Select Save when complete
  13. The Calendar Colors that were just entered will now appear on the mini calendar in Scheduling for all users

Cancellation Reasons

In an event a patient cancels or does not show up for an appointment, you can add a cancellation reason.

  1. Go to Practice Settings > Scheduling > Cancellation Reasons
  2. Choose Create New Cancellation Reason

  3. Specify: 
    • Title 
    • Description 
    • Primary;The Primary Reason will show as the first option when changing an appointment status to cancelled or did not show
    • Status



  4. Select OK
  5. Repeat as necessary 
  6. Select Save in the bottom left corner
  7. Select  to edit any existing cancellation reasons
  8. To change the order in which cancellation reasons will appear when modifying an appointment status, select  and drag the appointment type to its new location

Date Jump Buttons

Configure the labels and jump values for the date jump buttons below the mini-calendar.

  1. Go to Practice Settings > Scheduling > Date Jump Buttons
  2. Select any of the fields that you wish to modify

  3. Repeat as necessary
  4. Under the preview heading the modified date jump buttons will be displayed
  5. Choose Save in the bottom left corner
  6. To change the order of the date jump buttons, Select  and drag it to its new location

Date Ranges

These date ranges will appear when setting a recommended date for an unscheduled or short call list appointment.

  1. Go to Practice Settings > Scheduling > Date Ranges
  2. Select Create Date Range

  3. Specify: 
    • Title 
    • Length of time
    • Status



  4. Select OK to save the new date range
  5. Repeat as necessary 
  6. Select Save in the bottom left corner
  7. Select  to edit any existing date ranges
  8. To change the order of the date ranges, Select  and drag the date range to its new location

Schedule Views

Schedule views allow you to define different combinations of people, chairs, or other resources to be displayed side-by-side on the schedule grid.

You can decide whether to create different views for each clinic, to create views for all providers or all chairs, or simply create one view with every possible provider and resource in it.

  1. Go to Practice Settings > Scheduling > Schedule Views
  2. Select Create Schedule View



  3. Specify: 
    • Name
    • Primary status
      • Only one schedule view can be primary.
      • This is for organizational purposes in this table only and does not affect a user's experience.
    • Where to Use in Schedule
      • If not used in scheduling, the view is ony available from Advanced Provider Select.
    • Collapse Empty Columns
      • Whether provider and resource columns without appointments or availability are hidden by default.
      • A scheduler can always choose to show empty columns on their own screen.



  4. Add providers and resources by using the search field or using advanced search 
  5. Repeat as necessary
  6. Drag  to reorder the providers and resources
  7. Select OK to save the changes
  8. Choose Save in the bottom left corner
  9. Select  to edit any existing schedule views
  10. To create a copy of an existing Schedule View, select  to the right of the Schedule view 
  11. To delete an existing Schedule View, select  to the right of the schedule view

Strike Management

Modify the default limit for the number of strikes a patient is allowed before a confirmation warning is displayed when booking an appointment.

  1. Go to Practice Settings > Scheduling > Strike Management
  2. Adjust the appointment strike limit

  3. Select Save in the bottom left corner
